The Finance Department of the University encompasses the Controller's Office and the Office of Budget, Treasury and Research Administration. These offices are dedicated to ensuring the integrity of data submitted, recorded and reported and to providing the highest level of financial services in support of the University's mission in Biomedical Research.
Working as part of a two-person team and under the supervision of the Payroll Manager, the Payroll Associate will be responsible for ensuring that the mission of the Payroll Department is upheld. Responsibilities include compiling payroll related information for new hires, transfers, and terminations, reconciling and ensuring all pay-related payments are correct according to federal, state, and local regulations, entering and processing all hourly and overtime payments directly into Oracle Timekeeper, entering accurate labor distribution in accordance with Chart of Accounts, escalating any discrepancies to the appropriate laboratory, department, or Post Award Grants Office, and filing and maintaining supplemental payroll information, including W-4 forms, Direct Deposit Authorization, Involuntary deductions, etc. Will maintain post payroll processing information, including OTL hours, Gross Employee Reports, and hourly timesheets, maintain a professional working relationship with the Human Resources Department and Post Award Grants Office, assist customers via telephone or in-person with the highest level of customer service standards, and process payroll distribution adjustments. The Payroll Associate will assist with monthly Post Award Grant Expiration List and Year-End/Fiscal Year-End Payroll procedures and escalate any discrepancies or issues directly to the Payroll Manager.
High School diploma or equivalent required; Bachelor's degree and experience in higher education preferred. Must have a minimum of five to seven years of payroll processing experience within a high-volume organization with over 1000 employees. Must have basic accounting knowledge, be proficient in Microsoft Excel, and possess Payroll Systems experience including Report Writing Tools. Experience with Oracle payroll and Foreign Tax Treaties is a plus.
